Dayfile files all your project correspondence — email, Teams and WhatsApp — against the right project and the right company, automatically. Every folder carries a summary, you can ask questions in plain English, and reports arrive on their own. It is email management without anyone having to file.

Traditional email management relies on an Outlook add-in and a prompt on every send: each person picks a folder, or clicks past it. Dayfile has nothing to install and nothing to file — one read-only connection to Microsoft 365 and the filing happens on its own. It also covers Teams and WhatsApp, brings in your history, and does something with the record once it’s built: summaries, answers and reports.

Dayfile reads each item, works out whether it is work or not, and if it is, which project and which companies it belongs to. It files it into the right folders — an email can appear in more than one — with its source intact. Folders are named for your contract form, so an NEC business sees Compensation Events and Early Warnings, not Variations. Anything Dayfile can’t place confidently goes into a visible Unfiled folder rather than being guessed or silently dropped.

It reads what’s in the mailboxes you connect, and files only the work. Personal, HR and non-project conversations are left out — they never go into Dayfile. Commercially sensitive correspondence is restricted, so it isn’t automatically shared with the wider team. See the Security page for the full detail.

Anything about a folder, a project, a company or the whole business. “Did we ever price the extra drainage on Block B?” “When did Rev C go out?” “Has the client ever replied on retention?” Answers come with the source — sender, date, word for word — and there are no question limits.

Not what you’ve already seen — what you’d otherwise miss: the works started without an instruction, the change agreed in a group chat with no price behind it, the question nobody answered, the thing that has gone quiet. Reports are built around a role, a project or an area of the business and arrive weekly or monthly to as many people as you choose.

It works with what it can see in the mailboxes and groups you connect. If something isn’t there, it says “nothing found” — it never fills the gap. Attachments that only live on a server, and decisions that were never written down anywhere, are not in it.

One read-only connection to Microsoft 365 through your admin centre, choosing which mailboxes are in. Most customers are connected in a morning. Nobody installs anything and nobody changes how they work.

We bring in what’s already in each mailbox at setup, at no extra cost. Across the last two companies we connected we reached back more than a year per mailbox on average. Expect at least six months, usually more. Older archives and PST files can be loaded too, quoted separately.

You tell us which project groups to include. The project-relevant chat, photos and videos from those groups are filed to the job with the rest of the correspondence. Nothing is ever taken from anyone’s personal chats or phone.

Teams chats and the transcripts of recorded meetings come through the same read-only Microsoft connection. Unrecorded calls are not captured.

Connecting a mailbox doesn’t grant access to anything. You decide who sees which folders, who can ask questions and who receives reports. Folder access can be set project by project and folder by folder.

An admin removes them and their mailbox stops being processed immediately. The project record already captured stays — it belongs to the project, not the person. Nothing is lost with the leaver.

It happens, and you can see it. Anything Dayfile can’t place confidently goes into a visible Unfiled folder rather than being guessed, and a wrongly filed item can be moved. Every filed item keeps its source, so nothing is lost by a wrong folder — it is just in the wrong place until someone moves it.

In the UK by default, on UK infrastructure. If your business is in the USA, Australia or Canada we host your Dayfile there, so your data stays in your country. Encrypted in transit and at rest, logically isolated per customer, and never used to train anyone’s AI.

Revoke access in your Microsoft 365 admin centre and processing stops immediately. Leave, and you take a full export with you — originals, attachments, dates and sources. On cancellation the data is deleted within 30 days.
