Why it matters

More gets agreed on Teams than in email — and none of it used to be filed.

Progress meetings, design team calls, a quick chat to a site manager. That is where instructions get given, changes get waved through and prices get “sorted out later”. It rarely makes it into an email, and it never made it into an email management system.

Dayfile treats a recorded meeting like any other piece of correspondence: it works out which project it belongs to, files the transcript, and pulls the commitments out of it. A Teams chat where someone said “go ahead” is filed against the job the same way.

Honest limits: meetings need to be recorded for the transcript to exist. Unrecorded calls aren’t captured.

What gets filed

Chats, meetings and what came out of them.

Teams chats

One-to-one and group chats about a project, filed to that project. The “can you crack on with Level 3?” message sits next to the instruction that should have followed it.

Meeting transcripts

Recorded Teams meetings are transcribed and filed. Every line is timestamped and attributed, so a line from a meeting can be found and quoted the same way as a line from an email — with its context.

Commitments and actions

What was promised, requested or agreed in the meeting is pulled out and shows up in folder summaries and Monday’s report — with the timestamp to prove it.

Filed by company too

A meeting with the client lands in the client’s company folder as well as the project’s. Ask “what did we agree with Ashworth Homes in August?” and the transcript is the answer.

Nothing to install

Teams comes through the same read-only Microsoft 365 connection as email. No plug-in, no change to how anyone works.

Work only

The same rules apply: non-project chat is left out, sensitive conversations are restricted, and you decide who sees which folders.
